C0118136 WITH ASPLUNDH TREE EXPERT COMPANY IN THE AMOUNT OF $45,000 FOR THE 1999-2000 TREE MAINTENANCE PROJECT RECOMMENDATION Staff recommends that Council approve and authorize the Mayor to execute the attached amendment to Contract C0118136 with Asplundh Tree Expert Company to extend the completion date to September 19, 2000, and increase the contract amount by $45,000 for a total contract price of $240,431. DISCUSSION . Invitations for Bid (IFB) for:,the. 1999-,2000 Tree Maintenance Project were sent to twelve contractors on August 10, 1999. Bids,were received from four qualified contractors on August 31, 1999. Asplundh Tree Expert Company was declared the lowest responsible bidder and was twenty-one percent below the staff estimate. The .contractor has also successfully completed a contract for the City within the past year. In September 1999, the City entered into an agreement with Asplundh Tree Expert Company in the amount of $195,431 for the routine Pruning of City trees throughout the City. The primary focus of this and future projects is to provide a pro-active cycle of basic tree maintenance in the City. The work is scheduled by area; each area to be, completed annually. This is the first of the six areas that complete the cycle. Staff has utilized the allowable change order authority to increase the amount of work and accelerate the schedule by adding:: a,.third crew for 280 hours. Funds are available from savings realized from low bid prices received for the four primary tree maintenance contracts issued this fiscal year. The additional funds will extend this contract and provide tree maintenance in City parks and in areas of the City that are scheduled later in the cycle, but have more urgent tree maintenance needs. CMR:252:00 Page 1 of 2 The International Society of Arboriculture’s (ISA) standards for tree pruning are used as the pruning specification of this contract. It specifies that each contract crew shall have one member that is ISA Certified or equivalent. In addition, the City provides a full time ISA Certified Arborist inspector for this project. RESOURCE IMPACT Extending this contract instead of bidding a new similar project will save staff time and money because of the economical pricing of this project. Funds are available in the FY1999-2000 Public Works operatingbudget. POLICY IMPLICATIONS This report does not represent any change to existing City policies. Waterloo, Stockton, CA 92515. WHEREAS, the Contract was entered into between the parties for the provision of tree maintenance services in the s~m of $195,931.00;. and WHEREAS, the City approved a change order to the Contract in the sum of $18,869.~20; and WHEREAS, the parties wish to amend the Contract to add additional work in the sum of $45,000.00; NOW, THEREFORE, in consideration of the covenants, terms, conditions, and provision of this Amendment, the parties agree: SECTION I. Section 2 of the Contract is amended by increasing the contract amount by $45,000.00, to a total contact amount of $259,800.20.
