Home My WebLink About2002-10-21 City Council (19)City of Palo Alto City,Manager’s Report TO:HONORABLE CITY COUNCIL FROM:CITY MANAGER DEPARTMENT: ADMINISTRATIVE SERVICES DATE:OCTOBER 21, 2002 CMR: 414:02 SUBJECT:APPROVAL OF AMENDMENT NUMBER I TO $2137477, THE HARDWARE MAINTENANCE SUPPORT CONTRACT WITH GOLDEN GATE SYSTEMS FOR H-P 3000 AND H-P 9000 SERVERS IN THE AMOUNT OF $76,961 RECOMMENDATION This report recommends that Council: Approve and authorize the Mayor to execute the attached contract amendment with Golden Gate Systems in the amount of $76,961 to provide Hardware Maintenance Support for the City’s Enterprise-wide mid-range servers and associated peripherals for the time period from November 1, 2002 to October 31, 2003. Authorize the City Manager or his designee to amend the contract to continue the above services for another twelve months and to add additional equipment to the contract provided the total compensation does not exceed $90,000 and provided that the vendor is responsive to the City’s needs and the quality of the vendor’s work is acceptable during the prior year of the contract (and!or other conditions which will determine the City’s willingness to renew the contract). DISCUSSION The PA designated H-P 3000 and H-P 9000 servers (PAl, PA2, PA3, PA4, PA5, PA6, PA7, PAg, and PAl0) are the City’s application servers. The applications that are run on these servers include, but are not limited to, IFAS, Lawson, Police/Fire CAD, and CIS. The hardware maintenance contract provides on-site support for hardware issues 24 hours per day, 7 days a week with 4-hour response time. This support contract was competitively bid in 01-02, when the initial contract was awarded. The initial contract term was for one (1) year with the option of extending the contract for up to two (2) 12- month periods for a maximum of 36 consecutive months. CMR: 414:02 Page 1 of 2 FISCAL IMPACT The contract will be in the amount of $76,961 and the funds are included in the FY 2002- 2003 Operating Budget. ENVIRONMENTAL ASSESSMENT Approval of this contract does not constitute a project under California Environmental Quality Act (CEQA), therefore, no Environmental Assessment is required. ONE TO CONTRACT NO. $2137477 BETWEEN THE CITY OF PALO ALTO AND GOLDEN GATE SYSTEMS This Amendment No. One to Contract No. $2137477 ("Contract") is entered into £9m-7-/~ ~ , by and between the CITY OF PALO ALTO, a chartered city and a municipal corporation of the State of California ("CITY"), and GOLDEN GATE SYSTEMS, a partnership, located at 320 Spence Avenue, Milpitas, CA 95035 ("CONTRACTOR"). RECITALS: WHEREAS, a Contract was entered into between the parties for the provlsion of 24 hours per day, 7 days a week, With 4 hour guaranteed response, hardware} maintenance and support for Hewlett Packard HP3000 and HP9000 serversand associatedperipherals, in accordance with IFB No. 0~!37477 issued June 27, 2001, and proposal received from Golden Gate Systems on July 17, 2001; and WHEREAS, the parties Wish to amend the Contract in order to extend the term of the contract, to add additional machines to the scope of services and to increase the dollar amount of the contract; NOW, THEREFORE, in consideration of th@ covenants, terms, conditions, and provisions of this Amendment, the parties agree: SECTION i.
